Messages, folders, search and a mailbox signature. Groups, aliases, lists and a move from another server over IMAP.
A sovereign digital office on your server
Mail, calendar, chat, meetings, files, desktops, Outlook and GersaDoc internal management. One suite on Ubuntu and Docker instead of a set of outside clouds. Messages and documents stay on the customer's hardware.
One suite instead of a stack of services
A GersaMail license already includes mail, messenger, video and GersaDoc. They are not bought as separate lines.
Calendar
Day, week and month in the browser. The same calendar on a phone: ActiveSync, CalDAV and CardDAV.
Chat
Conversations with colleagues on this server: text, a file, voice, audio and video. Help starts after the colleague agrees.
Meetings
A meeting of several people, separate from chat, on your server.
Files
A file link without signing in to a mailbox. FTP uses the mailbox accounts.
Desktops
A computer card and a session in the browser. The Windows password is not stored in the mail database.
Outlook
IMAP, SMTP, Autodiscover and the GersaMail connector for Windows. The same contacts as in webmail and on the phone.
GersaDoc
A journal of documents and requests in the same sign-in. The panel sets the route and people's places.
Files in this delivery are a link that needs no mailbox login, plus FTP accounts taken from mail. A shared drive and an office in the browser are not in this delivery.
The price of depending on a cloud
A stopped vendor cloud, data outside your perimeter and a message in spam cost more than a mailbox.
| Event | Someone else's cloud | The customer's server |
|---|---|---|
| The account or the region is blocked | Mail and calendar stop with the vendor | Postfix and Dovecot keep accepting and sending mail on your host |
| Data outside your perimeter | Mailboxes and attachments sit with the operator | Mail, the database and files sit on your disks. Roles: gateway, master, reserve, spare gateway |
| A message lands in spam | The deal goes quiet and the cause is hunted at the provider | The server signs DKIM. The panel prepares SPF and DMARC. Rspamd, ClamAV and IP reputation look at the message and the address |
GersaDoc — internal management in the same window
Applications, memos, reports, orders and department requests open in webmail, between mail and the calendar. The module knows the person by the mailbox. An administrator sets the company structure in the panel.
Messenger, video and GersaDoc are included in the paid GersaMail license on every plan, from the one free mailbox to unlimited. In the free build, chat, meetings and GersaDoc are a demonstration contour only; the customer does not pay for them separately.
Journal
Drafts, in approval, addressed to me, for execution, executed and the archive. Requests sit apart: the queue, assigned to me, mine and watching. Search by number, author and text. The card shows the text, the route and attachments.
Documents
An application, a memo, a report, an order and a directive. The number is set when it is sent. A visa can accept, return or reject. The author does not visa their own paper. An approved document can be answered.
Requests
A request lands in the department queue and is assigned down the branch. The assignee finishes it. The queue manager sends it back. A watcher sees the course. With no assignee it stays with the queue manager.
Forms
A write-off act, a requisition, a purchase request and a cash request. A draft takes a file. A short mail goes out when a step arrives or someone is assigned. That mail does not contain the document text.
Assignments
The due date is counted in working days. The calendar paints weekends itself. Holidays come from the company table. The assignee files a report. The manager accepts or refuses it. There is a control report and a view by department.
The year and the chart
The first page is the tree of the current year: documents on the left, assignments on the right. The year calendar and the company chart in the journal are read-only. Your own department is marked.
In the admin panel
An employee does not set places, the route or leave. That is the GersaDoc section of the panel, run by the owner and the GersaDoc administrator. That role does not open mail, DNS or the license.
Structure
One company, departments, and a branch with its own domain. A post is created empty. A department is dragged onto another. The root cannot be moved.
Assignments
A person is seated on the Assignments page. A mailbox has one main place. A mailbox of one domain can sit in a department of another.
Handover
The place number stays. The mailbox changes. Old steps remain on that number. The place archive opens with a tick.
Leave
If a manager is on leave and a deputy is named, the deputy receives the step. The signature records who clicked. With no deputy the step waits.
A second post
A second place is added without the manager mark, and not in the person's main department. On the chart that place is marked as a second post.
Commands above departments, a free route builder, exchange with another organization and paper registration are not in this module. It is the company's internal route.
Someone else's mail and one license
Enter the bill for someone else's mail. Messenger, video and GersaDoc are not in this field: they are already in the GersaMail license, and they have no tariffs of their own. The license follows the site grid: Start, Business, Corporate, and the 450,$0.00 unlimited plan from 129 mailboxes. The starting figure is a talking point, not a competitor's price.
Amounts in the form are in rubles. A total for another country is converted at the site rate. If the link to the license server drops, the panel and file exchange stay open for 7 more days, and receiving and sending mail do not stop. Messenger, video and GersaDoc are in the license and are not added as their own amounts.
Try it and check it
The demo is for the director. Your own server is for the engineer. The list below is for checking mail that is already running.
Demo
The mailbox demo on the site mirrors webmail: mail, calendar and GersaDoc with a fictional company on gersamail.ru. Next to it is the admin panel mock-up.
Your server
Ubuntu and Docker. The installer starts the services, the panel opens on the host port, webmail is at /webmail/. The image is built on the customer's server.
Moving mailboxes
A move from Mail.ru goes over IMAP: each mailbox password, a folder check, and MX switched after the messages are verified in webmail. While MX still points at the old server, the move does not interrupt work. Migration is up to $42.61 per mailbox.
10 steps to protect corporate mail
What is already in the delivery, and what the customer publishes at the registrar.
- The SMTP greeting name matches PTR and the A record
- SPF is published at the registrar. The panel prepares the text
- The server issues DKIM. The customer publishes the DNS record
- DMARC starts at p=none and moves to quarantine when the reports are clean
- Rspamd scores every message
- ClamAV checks attachments when antivirus is on
- There is one DKIM signature: the gateway that hands mail to the internet applies it
- Address reputation: PTR, reverse name and DNSBL
- The spare gateway is published as a second MX once its address has PTR and a name in SPF
- If the link to the license server drops, receiving and sending mail do not stop
What the company gets
One delivery covers mail, clients, delivery and administration. The on-site mailbox demo on gersamail.ru is the same platform we install for a customer.
Mail stays with you
Mailboxes, calendar, contacts and files sit on your server. Access to correspondence does not depend on someone else's cloud plan or on the country of the data center.
One platform instead of a kit
Sending and receiving, webmail, calendar, phones, the panel, antispam, file exchange and GersaDoc arrive in one installer. There is no separate web client, calendar or office system to join up.
People work as they already do
A browser, Outlook and a phone connect to the same mailbox. Autodiscover tells the mail program the server address, so the administrator does not dictate ports to everyone.
One calendar for everyone
A meeting created in webmail is visible on the phone. Calendar and contacts live in one CalDAV service, Gersa Push — there is no second calendar database, and browser and phone do not drift apart.
Messages get delivered
The server signs outbound mail with DKIM. The panel shows ready SPF and DMARC text for the registrar and checks PTR and the address reputation. The signature is applied by the node that hands mail to the internet, so a message has one signature, not two.
A company signature without reminders
The server adds the mailbox or domain signature. It is the same in webmail and in the mail program: the employee does not forget the company block and does not put a personal version.
The administrator sees the whole mail system
Domains, mailboxes, aliases, groups and lists, quarantine, the delivery log, certificates, the cluster and an audit of actions — in one panel. A disputed message is found in the log, not in a user's retelling.
Mailboxes from the company directory
Active Directory and LDAP connect from the panel. A mailbox is created and matched to a directory account instead of being entered by hand a second time.
Spam stops before the mailbox
Rspamd scores every message, ClamAV checks attachments, and anything doubtful goes to quarantine. If policy requires Kaspersky, it is connected separately, on its own license.
Three sides of one system
An employee gets a mailbox. An administrator gets the panel. Infrastructure gets a cluster that can grow when mail cannot be stopped.
Mail, meetings and files
- Its own webmail: messages, calendar and contacts
- Outlook over IMAP/SMTP or the GersaMail connector for Windows
- A phone via Gersa Push: ActiveSync, CalDAV and CardDAV
- Apple Mail — IMAP and the same calendar
- A file leaves as a link: the recipient does not need a mailbox
- GersaDoc in the same window: the journal, visas and department requests
The day closes from the panel
- Domains, mailboxes, aliases, groups and lists
- The server checks the right to send as a group
- Quarantine, the message log and an audit of actions
- Ready DKIM, SPF and DMARC, and an address reputation check
- A Let's Encrypt or your own certificate, panel login with a limit on attempts
- The GersaDoc structure: departments, assignments, handover and leave
From one server to a cluster
- A single server combines the gateway and the mailbox store from the start
- The gateway accepts mail from the internet, the master stores mailboxes
- The reserve repeats the master and is not exposed to the internet itself
- The spare gateway holds the same domains and mailboxes: if the main one is silent, the queue goes there
- Built-in DNS can be turned on. The customer publishes records at the registrar
What the platform includes
FastAPI, PostgreSQL 16, Postfix, Dovecot, Rspamd, ClamAV, OpenDKIM, CoreDNS, nginx, Docker. The gateway accepts mail from the internet, the master stores mailboxes, the reserve repeats the master, the spare gateway holds the second entrance. A typical deployment is 1–3 business days.
| Block | What it gives |
|---|---|
| SMTP, IMAP and POP3, submission on 587/465. Groups, aliases and lists. A group member sends as the group, and the server checks it | |
| Webmail | Its own web client at /webmail/: messages, calendar and contacts. A separate third-party web client is not needed |
| Calendar | One CalDAV for the browser and phones. A meeting does not live in two places |
| Phones | Gersa Push: Exchange ActiveSync, CalDAV and CardDAV. Mail, calendar and contacts arrive on the phone as from a corporate server |
| Outlook | IMAP/SMTP or the GersaMail connector for Windows. Autodiscover for the domain, so the program finds the server itself |
| Signatures | The server adds the mailbox or domain signature — the same one in webmail and in mail programs |
| Admin panel | Domains, mailboxes, DNS/DKIM, quarantine, delivery log, cluster, certificates, administrator audit |
| Cluster | Gateway, master, reserve and spare gateway. A new mailbox on the master is sent to both gateways. The spare accepts the queue if the main one does not answer |
| Deliverability | The server signs DKIM. The panel prepares SPF and DMARC text for the registrar. Checks of PTR, reverse name and blacklists |
| Security | Rspamd on every message, ClamAV on attachments, quarantine. Kaspersky connects separately, on its own license |
| Directory | Active Directory and LDAP: mailboxes are created and matched from the panel, the mailbox password is stored as a hash |
| Files | File exchange gives a link without signing in to mail. FTP takes accounts from mailboxes — a second user directory is not needed |
| Start | One installer on Ubuntu, services in Docker, a Let's Encrypt or your own certificate. Starts from 2 vCPU and 4 GB of memory |
| Chat | Staff chat on the same server, in the mail install profile |
| Meetings | A meeting of several people, separate from chat |
| Desktops | A remote-desktop gateway: a computer card and a session in the browser. The Windows password is not written into the mail database |
| GersaDoc | A journal of internal documents and requests in webmail. The route goes up through managers and the department queue goes down, with forms and a due date in working days. The panel sets the structure, assignments and leave |
